Getting started
What is RobyContracts?
A web app that renews and creates contracts from your own Word template. Artificial intelligence reads the previous contract, the tenant completes their details through a private link, and you get the contract in Word and PDF, ready to sign.
How does it work, step by step?
1) Upload your Word template with the fields marked in braces. 2) Upload the expiring contract as a Word file (.docx); artificial intelligence fills in what it finds and shows where each value came from. 3) Send the tenant a private link to complete or correct their details. 4) Download the Word file and the PDF. 5) Each party signs with their own certificate, outside the app, and you upload the signed PDF.

Does it work for any contract type or country?
Today it is built for lease contracts in Ecuador and Colombia. In Settings → My business you choose the country: inflation comes from INEC (Ecuador’s national statistics office) or from DANE (Colombia’s national statistics office), and the app checks each country’s documents (cédula and RUC in Ecuador; cédula and NIT in Colombia). Colombia works in the new flow, “Create contract”. Your template can have any fields you want, but other countries and contract types do not have their own path yet.
How does the app calculate the rent increase at renewal?
In My business you set your usual rule: no increase, the previous year’s inflation, inflation plus some points, a fixed percentage, a fixed amount, or another rule you write. But the contract comes first: when renewing, the app reads the increase clause of the previous contract and, if it says something different, suggests what the contract says, quoting the sentence. In the “Increase for this contract” box you see the whole calculation with the previous year’s official January–December inflation and its source, confirm the figure, and the new amount goes into the money field you choose. You can change the increase for that contract only.

How much does it cost?
A single contract costs $3.00. With a monthly plan each contract costs $2.40, from $4.80 a month for 2 contracts up to 17 contracts a month. Storing your contracts and expiry alerts cost nothing.

One contract is used when the app produces the document of a new or renewed contract. Storing it, downloading it again, alerts or resending the link to the tenant cost nothing. If the contract stops halfway, it is not charged.
Can I buy several contracts at once without a plan?
Yes. You can buy 1 to 100 single contracts in one payment, at $3.00 each. Useful if you renew many contracts once a year.
What happens to plan contracts I do not use?
They carry over to the following months. If you cancel the plan, they stay usable for 6 more months after the month you already paid ends.
Who charges me, and how can I pay?
Payments are processed by Polar, which acts as the official seller (the “merchant of record”) and accepts cards. RobyContracts never sees or stores your card details.
Cancelling and refunds
How do I cancel my plan?
In your account, under Subscription, press “Cancel my plan” and confirm. You can also do it in Polar’s customer portal, https://polar.sh/robycontracts/portal, signing in with the email you paid with.

Yes, with no minimum term. The plan stays active until the end of the month you already paid and is not charged again. Your stored contracts stay available for 6 more months; we email you before deleting anything.
How do refunds work?
Single contract purchase: within 7 days of payment we refund the money for the available contracts you have not yet used to create a contract. If your first purchase was a single contract ($3.00), we refund all of it even if you already used it to create a contract, once per customer. Monthly plan payment: within the first 5 days after the charge, we refund the part of the payment for that month’s available contracts you did not use.

No. A refund and a cancellation are two different things: next month you will be charged again. If you want both, first ask for the refund, then press “Cancel my plan”.
When do I get the money back?
The app asks Polar for the refund straight away. Polar processes it, and it usually takes a few days to show on your card statement.
Templates
How do I prepare my Word template?
Write your contract as usual and replace each value that changes with a field in double braces, for example {{C.Tenant name}}. The letter before the dot says who fills it: C the client, A you. You can set the field type, such as date, money or a list of choices.

Download the sample template →In what format do I upload the previous contract?
As a Word file (.docx), like the template. Today the app does not read PDFs or photos: if you only have the contract as a PDF or on paper, convert it to Word first.
Can I use my own contract?
Yes, that is the point. The app fills your template and keeps your wording and formatting. It does not impose a model.
What if a field in my template is written wrong?
When you upload the template, the app checks every field and tells you which one it could not fill, before you use it.
Signing and the tenant
How is the contract signed?
The app produces the PDF unsigned. Each party signs it on their own computer with their own electronic signature certificate (a .p12 file), for example in Adobe Acrobat or Reader, and uploads the signed PDF. The app checks that the file carries a signature and sends the final contract to both parties.
Does RobyContracts store my signature certificate?
No. Your certificate and its password never leave your computer. The app has no code to receive them.

Security and account
Who can see my contracts?
Only your account and the people you invite to your team. Data is separated by account inside the database, not only on screen.
Does the artificial intelligence learn from my contracts?
No. Every request with contract content requires a provider that does not collect or keep what is sent. If none qualifies, the request fails.
Why am I asked for an authenticator app?
To protect your contracts, signing in requires a second step with an authenticator app on your phone. You have a few days after creating the account to set it up; it takes about 2 minutes.
Can I work with my team?
Yes. You can invite other people as Administrator or Editor. The contracts they create come out of the account owner’s balance.
